Position: Logistics Coordinator

Job Title: Provisions and Supplies Coordinator

Location(s): Flagstaff, AZ

Department/Division: CREW, Southwest Arizona, Southwest

Status: Regular Full-Time (Exempt)

Schedule/Hours: Full-time, 40 hours/week with additional hours as needed. Some evening hours may be occasionally required.

Reports To: Associate Director

Travel: Local travel in-and-around Flagstaff, AZ

Compensation: Competitive pay with a benefits package that includes health, dental, vision and supplemental insurance, paid vacation, sick leave, designated holidays, and 401k retirement for qualified employees

Starting Salary Range: $34,250.00-$36,000.00 (based on experience)

Start Date: May 2021

Position Summary:

The Provisions and Supplies Coordinator has two major areas of responsibility:

1) Purchasing and meal planning

2) Warehouse/shop coordination

As a member of the ACE Operations Team, the Provision and Supplies Coordinator is responsible for managing all aspects of planning, purchasing, and providing meal provisions for ACE crews working in the field as well coordinating on-the-ground support to ensure that the warehouse/shop are safely maintained and managed with proper supplies. This dynamic position works closely with both the Operations and the Member Resource teams to ensure that conservation crews are prepared to successfully complete field projects with all necessary supplies and equipment.

Essential Functions and Responsibilities:

Purchasing and Meal Planning:

  • Develop nutritious meal plans that are applicable for up to 13 (8-person) crews based in outdoor spike camp situations.
  • Purchase quality foods and pack foods in crew food bins or coolers. Ensure that when purchasing any item that ACE is getting the best value for money, check the internet for price comparison, and develop relationships with local suppliers.
  • Repair and maintain sufficient food coolers and dry boxes.
  • Maintain cookset resupply and stoves.
  • Communicate and coordinate with Crew Leaders to ensure appropriate provisions are purchases if the crew is on a field project longer than two weeks.
  • Review crew schedules and then develop a menu of breakfasts, lunches, and dinners for crews providing suitable options for those with dietary restrictions.

Warehouse/Shop Coordination:

  • Assist the Logistics Manager to ensure that the ACE Flagstaff warehouse and shop area are safely maintained to OSHA standards.
  • Help coordinate organization of the ACE Flagstaff warehouse and shop area with provisions, equipment and supplies.
  • Purchase and maintain cleaning supplies and other essentials for Warehouse/Shop maintenance and operation.
  • Other duties as assigned.

Required Experience and Qualifications:

  • Possess a high school diploma or GED certificate. AS/AA or BA/BS degree from an accredited college/university preferred.
  • Intermediate level computer skills, specifically including knowledge of Microsoft Office products and a familiarity with the Google Apps suite.
  • Previous experience working with young adults in a team setting.
  • Knowledge or leadership experience within the conservation field.
  • Ability to shop for and create healthy, cost effective recipes for field crews.
  • Ability to adapt to work environments and conditions that can change frequently.
  • Experience in communicating rules and regulations and holding others responsible to expectations.
  • Ability to handle concurrent operations in a fast-paced environment.
  • Willingness to travel and camp out for extended periods of time if needed.
  • Must be flexible and possess a high work ethic.
  • Ability to understand and carry out oral and written instructions
  • Ability to establish and maintain effective working relationships with members, staff, and the general public.
  • Ability to maintain a positive, constructive work environment conducive to team performance.
  • Ability to understand and carry out oral and written instructions.
  • Ability to analyze and resolve complex safety issues .
  • Ability to handle concurrent operations in a fast-paced environment.
  • Willingness to travel and camp out.
  • Ability to prepare and maintain records and reports.

Other Requirements:

  • Must be authorized to work in the U.S.
  • Valid driver's license and an insurable driving record.
  • Proficient in English.
  • Ability to pass a federal criminal background check.
  • Willing to abide by ACE Policy and Federal Drug Free workplace policies and laws. ACE reserves the right to drug test at any time.

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires frequent sitting, standing, walking, hiking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of hand and power tools, computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch. Ability to hike over rough terrain, and camp overnight under field conditions.
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently lifts up to 50 lbs., ability to lift up to 60 pounds.
  • Environmental: Outdoor and indoor conditions. Work environment conditions can change frequently; working under adverse weather conditions and in various climates.
  • Noise Environment: Moderate noise.
  • Travel: This position requires local domestic travel.
