The person serves on the Registrar's Leadership Team and participates in strategic planning, expanded communications efforts, staffing decisions, and related functions. This position supports the continued development and advancement of NAU's Academic Scheduling functions. The person in this position serves as an essential member of the Academic Operations branch and works interactively, and in parallel, with the Vice Provost for Academic Operations (VPAO) area that manages Course Capacity and Academic Advising, as well as non-VPAO areas such as Facility Services and Information Technology Services and eLearning.This leadership position serves the entire University and student population and requires strong management and administrative skills. It also requires daily interactions with academic unit faculty, staff and administrators (Chairs/Directors and Associate Deans) to implement and oversee the Schedule of Classes - issues that have implications that ripple through all academic units and that require consensus building, guiding cultural change, knowledge of technical processes, business processes, policies, and personnel management - coupled with a driving mission for both data integrity/accuracy and removing roadblocks that deter students from achieving their academic goals.**Immigration Suppt/Sponsorship**NAU will not provide any U.S. immigration support or sponsorship for this position.**Job Description**Under the general supervision of the University Registrar, the Associate Registrar in this position serves as the leader of the complex processes comprising and orbiting the Centralized Academic Scheduling function (classes and classrooms), focusing on the continued development and advancement of centralized academic scheduling functions within the Office of the Registrar. Includes process flow, FERPA, operations, campus support, report management, documentation, and training.Management & Supervision - 45%+ Provides key leadership to the Class Scheduling team with regards to overall employee development, motivation, and team building. Works with staff to maximize potential and efficiencies.+ Supervises, hires, trains, evaluates, and promotes the professional development of a Class Scheduling team which is comprised a Class Scheduling Coordinator, Sr., four Class Scheduling Coordinator, Intermediates, and approximately seven part-time temporary and student employees.+ Promotes a proactive client-centered approach, regularly assigning special projects, encouraging frequent training, workshops, and classes to continue professional development.+ Responsible for ensuring all timesheets and leave requests are accurate and approved each pay cycle.Leadership, Process Oversight, Technical Knowledge & Communication - 25%+ The Associate Registrar (Schedule of Classes) serves as a daily manager of the complex processes that orbit the "Centralized Academic Scheduling" function (classes and classrooms).+ Manages PeopleSoft Student Administration System, CollegeNet Classroom Scheduling System and Coursedog Class Scheduling System resources as pertaining to and support of the functions listed above. Holds leadership role in the implementation of functions associated with PeopleSoft, CollegeNet end-user testing and Coursedog end-user testing, updates and fixes testing, system maintenance and enhancements.+ Responsible for continual maintenance of CollegeNet Classroom Scheduling System.+ Identifies reporting and data integrity needs - works with Business Analysts and Enterprise Reporting to create reports as necessary.+ Leads and coordinates special projects with other offices and/or departments focusing on the expansion of scheduling functionality and process efficiencies.+ Provides leadership in the revision to current options, seeking innovative solutions and enhancing the quality of overall customer service delivery.+ Reviews and modifies current business processes within the Office of the Registrar pertaining to centralized academic scheduling and general office procedures.+ Establishes and enforces scheduling requirements to ensure best practices are followed. Establish calendar of planning phase and building phase to include deadlines for schedule builds. Update "Summer Planning Packet".+ Conducts research as appropriate for projects and/or initiatives within the work unit (for example, may conduct surveys/studies relevant to organizational management; benchmarks with other institutions to research policies/procedures/strategies).+ Independently sends correspondence to academic units related to scheduling timelines, processes, data integrity clean up, planning of future builds, etc.+ Provides technical advice, problem-solving assistance, and answers to questions regarding departmental and program goals and policy interpretation. Assists with in-depth research of reported problems.Representation & Customer Service - 25%+ Provides assistance to the Registrar in planning and implementing the office's response to the various needs of the institution, acting for the Registrar where assigned and appropriate.+ Represents the Office of the Registrar on various campus committees and meetings with other areas. Develops, recommends and shepherds proactive, integrative enhancements to policies and procedures, strategies and communications involving these areas, such as Space Management, ITS Classroom Support, Planning and Design, VPAO BA team, Disability Resources/Affirmative Action, eLearning, Community Campus/Online, Statewide Scheduling, Enterprise Reporting, Academic Advising, Curriculum and Assessment, Financial Aid, Graduate College/Assessment Office, Conferencing and Events, and IRA-Institutional reporting.+ Responsible for providing a secure confidential environment for faculty and student classroom accommodations.+ Proactively builds and sustains relationships with the university community to promote and advance knowledge about the functions and services of the Registrar's Office team. Annual salary commensurate with candidate's qualifications and related experience.**FLSA Status**This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.**Benefits**This is a Service Professional (SPF) position.
