This position will perform assignments requiring initiative, multitasking, attention to detail, excellent communication skills, autonomy and independent judgement. This position heavily utilizes database systems, communicates on a regular basis with internal and external stakeholders, completes accreditation tracking and reporting, and will supervise others. The successful incumbent must have experience with accounting/budgeting skills, human resources, marketing, editing documents, and college-level students and faculty. Occasional weekends and evenings will be required. The schedule may change with notice depending upon the needs of the department. Job Duties: In collaboration with the department chair, implement effective and efficient administrative and operational procedures for the Doctor of Occupational Therapy (OTD) Program. Develop and monitor program budget, including all grants and monies in the program. Inform Chair and faculty of irregularities and prepare recommendations for corrective action. Prepare budget projections, reports and plans. Prepare, analyze and maintain operation statistics, reports, evaluation and surveys. Direct student recruitment processes related to program website information, marketing processes, (materials), presentations, and graduate student fairs (face-to face and electronic) Oversee pre-admission advising, admissions screening and matriculation requirements for prospective student applications using national online tool, Occupational Therapy Centralized Application Service (OTCAS) Provide information and counseling to prospective students concerning the occupational therapy profession as well as the selection and retention, content and objectives of the department. Help coordinate course scheduling, advising processes, department activities calendar and special event Obtain instructional equipment and supplies including working with inventory and vendors. Liaison with graduates regarding certification, licensing and employment processes. Manage activities of support staff including Administrative Assistant and student workers. Assist faculty and staff regarding department support activities and travel, including implementing University policies and procedures for hiring, employment, admissions, academic progress and advising, budgeting and contract or grant requirements. Assist in the evaluation of program effectiveness and for accreditation processes. Work with the Chair to develop and update all program handbooks and professional accreditation documents. Program liaison to Graduate College, Registrar's Office, Financial Aid and other NAU Departments and faculty as well as all national and state occupational therapy organizations and governmental agencies. Represent the program to other administrators and outside agencies with considerable authority to make commitments on administrative policies and procedures. Liaison with faculty, students, alumni and general public concerning program inquiries or complaints that require interpretation of policies, procedures and programs. Maintain effective working relationships with faculty, staff, students and general public. Responsible for effective and efficient office management of functions (i.e. human resources, financial electronic transaction routing). Represent NAU at national and state occupational therapy conferences and other professional development experiences when asked. Other duties as assigned.
