Reporting directly to the Fiscal Operations Manager with a dotted line to the CMO this position provides frontline support to the CMO, directors, and unit leadership and is responsible for varied administrative functions and other necessary tasks associated with the operation of the unit. The successful candidate will act as an advocate for the NAU brand, develop new and nurture existing campus partnerships, and collaborate at all levels across the institution to fulfill NAU's mission. Job Description The Administrative Associate works closely with the CMO and team to perform administrative work unique to NAU Marketing, Communications, and Operations requiring initiative, independent judgement, and a positive team approach. All duties require specialized knowledge of the unit's mission, workflow and priorities. Regular contact with other administrative offices, faculty, students, outside organizations and the public requires strong interpersonal communication skills, tact, discretion and judgement. Typical duties of the position include: Support to the CMO and Senior Leadership: 50% Main point of general contact for the Marketing office. Direct office functions and organizational practices; organizes and maintains files and records; serves as the office manager for the department. Prepare correspondence and other administrative activities for the CMO and other unit leaders. Manage the CMO's calendar; coordinate the scheduling of meetings and other activities led by the CMO; manages special projects. Provides calendaring support to the department's unit leaders; coordinate the scheduling of meetings and other activities with their direction; manages special projects. Prepare materials to support the CMO and unit leader's daily activities and meetings. Provides administrative support for regular and ad hoc committees convened by CMO. Work with unit leaders to ensure coordination of activities. Disseminate specific communications to unit constituents as required by the CMO. Maintain confidentiality and discretion regarding the marketing business and files. Work with unit leaders and other departments in fulfilling unit goals. Assist with unit events. Work with colleagues in other university units to ensure compliance with all relevant policies and best practices. Research, summarize, and analyze information for the CMO and; compile data to prepare special and recurring reports containing specialized or sensitive information under the CMO's directive; work with the CMO to write proposals and reports. Develop and distribute minutes of department meetings, per the CMO and unit leadership's direction. Assist in the development of documents, including Word and power point presentations for the CMO and other senior leaders as directed. Create and maintain unit contact lists, mailing lists, and list serves. Serve as liaison to administrators, faculty, staff, students, outside agencies, and the public by providing information, facilitating communication or resolving problems. Participate in meetings and conferences pertinent to area of responsibility. Create a welcoming atmosphere for faculty, staff, students and visitors. Support to the Unit: 50% Review bi-weekly payroll processing and other personnel initiation activities such as ePAR, HireXpress and background check processes. Process travel claims for CMO and other members of the unit; analyzes transactions and documents procedures to ensure compliance with accounting principles and university regulations. Review financial reports, fund or account statements; investigates irregularities; makes adjustments and necessary journal entries. Record revenues, disbursements, expenses or other transactions by posting to records or ledgers, takes trial balances and prepares simple analyses and/or reports. Analyze accounting data and makes general interpretations and recommendations. Review reports and investigates and reports or corrects inconsistencies and errors. Other duties, as assigned.
